Planned checkout lets parents or staff record in advance when a child will be leaving the setting. This is useful for early pickups, after-school activities, or children who have permission to walk home on their own. Both parents and staff can add, edit, or delete a planned checkout from the child's profile, and any changes are visible to both sides.
Enabling Planned Checkout
Planned checkout needs to be turned on in your settings before anyone can use it.
Go to Settings → Children → Collection
Toggle on Planned checkout
Adding a Planned Checkout
Once enabled, parents and staff can record a planned checkout from the child's profile.
Open the child's profile and click Sign out time
Enter the date and time the child will be leaving
Add an optional note if needed
Tick the Repeat weekly box if this is a recurring arrangement
Click Save
💡 When a parent adds, edits, or deletes a planned checkout, staff will receive a notification so nothing gets missed
For Parents: Viewing and Managing Planned Checkouts
Parents can view and manage their child's planned checkouts from the child's profile or in their calendar. From there, they can edit the time and any notes, or delete the planned checkout if plans change.
For Staff: Viewing Planned Checkouts
Staff can see planned checkouts in two places:
On the child's profile
Planned checkouts are visible in the activity section of the child's profile.
In the room overview
The room overview shows a consolidated list of all children with a planned checkout for the day, sorted by time. A yellow dot appears when a child's planned checkout time is approaching, and a red dot appears once the time has passed.
You can also see a site-wide view of all planned checkouts for the day by clicking All children from the overview.
💡 Planned checkouts feed into expected attendance and will override a child's expected leaving time from their booking where one exists. This override is shown clearly in the room overview so staff always know why a child's expected leaving time has changed
