What is the Room Overview?
The Room Overview gives you a live snapshot of what is happening in each room throughout the day. It brings together information about children, staff, attendance, and activities in one place so you can quickly see who is present, who is expected, and how your room is running.
From the Room Overview, you can monitor staffing ratios, check children in and out, record activities, and view important information such as allergies, sleep times, and bookings. This helps staff stay organised and makes it easier to keep track of the room during busy moments.
The Sections of the Room Overview
The Room Overview is organised into several sections to help you quickly see what is happening in your room throughout the day.
The Graph
The room overview includes a live projection graph that updates in real time as the day unfolds, giving you an accurate picture of attendance and staffing at any point. The graph updates automatically as children and staff sign in and out, switch rooms, or have expected pickup and leaving times set.
Here’s how the projection works:
For children: the graph uses each child’s booking as the basis for expected attendance. If an expected pickup time is set, that takes priority. If a child signs out for the day, they’re removed from the projection unless they have another booking later
For staff: the graph uses each staff member’s shift as the basis for expected attendance. If an expected leaving time is set, that takes priority. If a staff member signs out for the day, they’re removed from the projection unless they have another shift later
Room switches: if a child or staff member moves to a different room, their projected attendance follows them
Required staff: calculated based on projected attendance and the care ratios set for each room. You can view these under the room’s care requirements in Settings
You can hover over different points on the graph to see more detailed figures for a specific time.
Room Overview Notes
The Notes tab in the room overview lets staff share important child information between shifts without leaving the page. Notes created on the day appear here, making it easy for the next shift to catch up quickly on anything that’s happened during the day, from medication reminders to updates shared by parents at drop-off.
To add a note, tap a child’s profile picture to open the side actions panel and select Note. Notes are saved to the child’s profile and stay there permanently, even after they no longer appear in the room overview. Read more about room overview notes here.
The Tabs
Below the graph, you will see a set of tabs that group children based on their current Status. From left to right, the tabs show:
All: the total number of children in the room
Calendar icon: the number of children expected based on their bookings
Checkmark icon: the number of children currently signed in
Moon icon: the number of children currently napping
Thermometer icon: the number of children reported sick
Sun icon: the number of children on holiday
These tabs allow you to quickly switch between different views of the room.
Overview of Children
Children appear in a grid below the tabs.
Children whose photos are in colour are currently signed in
Children whose photos are greyed out are not signed in
You can also see when each child is expected to attend based on their booking pattern.
Small icons around a child’s profile picture show recorded activities such as meals, toilet visits, hand washing, (sun)cream application, and temperature checks.
Some statuses appear directly on top of the profile picture, including naps, sickness, holidays, and any custom statuses.
Under each child’s profile picture, you can see additional information such as:
Sign-in and sign-out times
Nap duration
Allergies and dietary requirements
Whether the child is going home with another child
Overview of Staff
At the bottom of the page, you will see the staff assigned to the room along with their signed-in hours for the day.

This section helps you quickly see who is present in the room and monitor your staffing levels.
