Restricting Staff Access to Famly

Control Staff Access to Famly Outside Your Setting

You can choose only to allow staff to access Famly when they’re signed in to your setting. This adds an extra layer of protection for your data, as it means staff can’t access Famly when they’re not signed in to work.

If a staff member logs in to Famly while not signed in to your setting, they’ll see that their access has been disabled. Staff members will no longer have access to tabs in their sidebar or their messages.

Staff can be signed in:

  • By a manager

  • From the room overview by another member of staff

  • Through Famly’s separate sign-in screen


How to Restrict Staff Access Outside the Setting

To stop staff from accessing Famly when they're away from the nursery:

  • Head to Settings (the cog icon) in your sidebar

  • Select Staff

  • Click Manage role/permissions

  • Make sure the permission Can access the app away from the setting is unticked

💡 This setting doesn’t track where a member of staff is physically located. It only checks whether they’re signed in to your nursery


Automatic Access Shut-off After Closing Time

If a staff member forgets to sign out, and their role has the Can access the app away from the setting permission unchecked, Famly will automatically remove their access one hour after your setting’s closing time.

💡 Your setting’s opening and closing times can be found and adjusted in Settings → General → Opening hours

Please note that this automatic sign-out won’t appear in the Staff Attendance report. It will still show that the staff member was signed out by the system at 23:59, even though access is removed one hour after closing.


Allow Staff to Access Famly Away from the Setting

If you want to let staff access Famly even when they’re not signed in to your setting:

  • Head to your Settings

  • Select Staff

  • Click Roles and permissions

  • Choose Compare roles

  • Make sure the permission Can access the app away from the setting is ticked

💡 Even if staff don’t have permission to access the app away from the setting, they can still log in to view their own profile, request leave, and add notes to their calendar.
