Creating a New Staff Role
If you need a new role for staff members (for example, a Senior Practitioner, Deputy Manager, or Chef), you can create one from your staff settings.
To create a new role:
Head to your Settings
Click on Staff
Go to Roles and permissions
Scroll down to Add new role to give your role a title and add the necessary access permissions.

Editing Staff Permissions
🔒 You can edit staff permissions on our Premium and Professional packages. If you're on the Foundation package, you won’t be able to customise permissions, as each role has a default set assigned to it
To make changes, you’ll need the Manage logins for staff permission enabled.
There are two ways to change what a staff member can access:
You can switch a staff member's role
You can change the permissions for a staff member's role
Change a Staff Member’s Role
If a staff member should have a different set of permissions, you can assign them a different role.
To change a staff member’s role:
Go to the staff member’s profile
In Basic Info, find the section next to Login
Click the button that shows their current role (for example: Role: Deputy Manager)
Select the new role in the pop-up window
Click Save changes
Change the Permissions for a Role
If you want to adjust the permissions for an existing role, you can update that role directly.
💡 Changing permissions for a staff role will affect all staff members assigned to that role
To edit role permissions:
Click Settings in your sidebar
Select Staff
Click Compare roles
Use the tick boxes to add or remove permissions for each role
Click Save permissions
💡 Each setting also has a default Manager role that includes all permissions. It isn’t possible to edit the default Manager role or delete it entirely.
Organisational-level Roles
If you're part of an organisation and can’t edit staff permissions, you may need an Organisation Manager to make these changes for your setting.
