Where to find your Revenue Report
The Revenue Report is where you can keep track of your monthly revenue. You can see a complete breakdown, including plans, ad-hocs, surcharges, credits, custom lines, and council total. The report is arranged month by month and shows the figures based on when the childcare took place. You can even enter a budget to ensure that you meet your targets. To find your Revenue Report:
Simply log in to Famly
Click on the Finances icon
Select the Reports tab
Select Revenue
How to use the Revenue Report
The Revenue Report displays data for the month in which care is given, not when it was invoiced - this is why your revenue report and invoice report may not always match.
The Revenue Report consists of three sections:
The graph - gives you a quick overview of future revenue
The nursery overview - provides summarised figures of your revenue
The bill payer overview - gives you a detailed breakdown of who adds to your revenue
The Graph
At a glance, you will be able to see if your revenue is going up or down in the months to come. When hovering your mouse over a black dot, the figure you will get is your total revenue.
The Setting Overview
Here you'll find how the total revenue is calculated. The invoiced line represents the total costs of all invoiced items for that month, including plans, ad hoc, surcharges, credits and custom lines.
Funding is already deducted from this figure.
Invoiced shows what has been invoiced
To be invoiced shows the amount for periods with active plans and ad hoc purchases that haven't been invoiced yet.
The Council Total line shows the amount of funding that you can expect to receive from your local council based on the funding rates entered.
'Invoiced,' 'To be invoiced,' and 'Council Total' will add up to 'Total Revenue.'
Parent Fees (Planned) is the revenue based on the plans created for the children.
Parent Fees (Ad Hoc) is the revenue that comes from sessions and products entered as ad hoc purchases.
Other is additional surcharges, credits, and custom lines added that aren't part of a plan or ad hocs.
'Parent Fees (Planned)', 'Parent Fees (Ad hoc)', 'Other' and 'Council total' will add up to the 'Total Revenue'.
If you would like to see an added layer of detail, you have the option to look at your revenue details for each month. Clicking on the date at the top of the setting overview will show you the number of each session booked (both planned and ad hoc) and their total price as well as the council total for that month.
Note, this is only available for customers on our Premium and Professional packages.
The Bill Payer Overview
Alphabetically listed by bill payer names, this section outlines how much each bill payer contributes to your revenue.
An amount written in black is an already invoiced figure, as a result, you can click the amount to see the invoice.
An amount written in grey indicates that there still are items to invoice in that month.
The easiest way to see a breakdown of this is to click the bill payer's name to the left, click Add, select Invoice and set the period you want to check.
Grey figures will match the figures in Batch Invoice but please note that deposits included on an invoice are not considered revenue because they need to be returned at some point.
Setting a Target
By clicking the Setup Target button in the top right corner of the screen, you are able to enter your revenue target. When the target is saved, it will show as a line in the graph for you to compare your revenue against.
