Staff Audit Report

Written by Josie

🔒 The staff audit report can be switched on for your site or organisation on request, so reach out to your account manager or in-app, and we’ll enable it. To use it, you’ll need the View staff profiles permission at the level you’re auditing (site or organisation)

The staff audit report lists every employee who started or left in a date range, along with every role they’ve held. It’s built for organisations that need to show who had which access and when, for example during security reviews or inspections, and it works at both site and organisation level.

Finding the Staff Audit Report

Go to Reports → Staff → Staff audit.

If you manage an organisation, use the Choose site dropdown at the top of the page to pick the organisation or an individual site.

Running a report

Pick the period you want to look at, and the report shows who joined or left in that time.

  • Use the Filter by dropdown to choose Start date to see who joined, or End date to see who left

  • Choose a date range in the date field next to it

  • The table updates to show matching employees. Click Load more at the bottom to see more rows

If you’re on a smaller screen, you’ll need to pick dates from the calendar, as typing them in only works on a computer or a tablet held in landscape.

What the Staff Audit Report Shows

Each row is one role an employee has held at a site, so someone with several roles appears on several rows. Roles that have since been removed still appear, so you get the full history.

Column

What it shows

Site and Room

Where the employee works

Name, Employee ID and Email

The employee’s details

Job title

The employee’s job title

Role of contact

The role they held, for example Manager

Role granted and Role granted by

When the role was given and who gave it

Role revoked and Role revoked by

When the role was removed and who removed it

Qualifications

Their credentials and qualification types

Start date and End date

Their employment dates

The report also shows when each employee was last seen in Famly. If an employee hasn’t held a role, the role columns are empty. If the person who granted a role has since been deleted, Role granted by shows Deleted user.

Exporting the Report

To keep a copy for an audit, click Export CSV at the top right. The export includes the full grant and revoke history for each role. Past exports are listed with the date range and date field each one used, so you can find them again.

Common Questions

I can’t see the Staff audit report.

  • First, check that you have the View staff profiles permission. If you do, it may not be switched on for your site or organisation yet, so reach out to us and we’ll enable it. Having other staff permissions isn’t enough on its own.

It’s switched on for one of our sites, but I can’t see it at organisation level.

  • For the organisation-wide report, it needs to be switched on for the organisation itself. Enabling it for a single site doesn’t make it appear at organisation level.

Does my package affect whether I can use it?

  • No. It isn’t tied to a package, so it can be switched on whatever package you’re on.

A person’s roles show under two employee records.

  • If the same login is attached to two employee records at one site, that login’s roles show under both.
