Where to Find Enquiries
Enquiries helps you keep track of potential new starters, children you’ve enrolled, and booked showarounds.
To access it:
Go to Attendance in your sidebar
Select Registration
Click the Enquiries tab
If your setting is part of an organisation, enquiries can be viewed at:
Site level, for one setting
Organisation level, across multiple settings
Get an Overview of Enquiries and New Starters
At the top of the Enquiries page, you’ll see key statistics, including:
Total enquiries
Showarounds booked
Children enrolled from enquiries
Lost enquiries
Below the statistics, you’ll see the full list of enquiries.
Filter and Search Your Enquiries
If you want to narrow down the list, you can use filters.
To apply a filter:
Click + Add filter
Choose the filter type and select your options
You can filter by:
Creation date
Child’s start date: This is the date entered in the Expected start date field on the enquiry profile
Status: Confirmed, contacted, enrolled, lost, new, viewed, or waiting list
Room
Activity: For example, phoning a parent, completing a showaround, or changing a status
Source: Website, word-of-mouth, social media, Google/search engine, staff recommendation, current child attending, or parent recommendation
Site: If you’re part of an organisation, you can filter by specific sites
You can also use the search bar to search within enquiries, such as subject lines or notes.
View Enquiries by Site or Organisation
If you are part of an organisation, you can switch between viewing:
A single site
The full organisation
To do this, use the site dropdown at the top of the page.
Export Your Enquiries List
You can download your Enquiries List as a CSV file.
To export enquiries:
Click on the Export button
Choose what information you want included
Click Export to download the file
Any filters you’ve applied will automatically be pre-filled in the export window, and you can further refine the export before downloading.
How to Add a New Enquiry
You can manually create a new enquiry for a family.
To add a new enquiry:
Click New enquiry
Fill in the information you have in the relevant fields
Tick Book showaround if you want to add showaround details
Click Confirm
If you need to update the showaround later:
Open the saved enquiry
Hover over the showaround time to edit it
💡 If you are part of an organisation, you will only see the New enquiry button when viewing the Enquiries List at site level, not organisation level. Make sure you have selected a specific site in the site picker.
Create a Child Profile from an Enquiry
When you create a new enquiry, or a parent submits an Enquiry form, a profile is automatically created for the child.
To view the profile:
Click the child’s listing on the Enquiries page
From here, you can:
Add further details about the child
Enter a requested booking pattern
Use the information to create a quote for childcare fees
Send a Registration Form to Families
You can send a form to the family so they can provide more information.
To send a form:
Open the child’s enquiry profile
Go to the Documents tab
In the Forms section, click Send form
Select the Enquiry form you'd like to send from the dropdown and choose a recipient.
Once you click Send, you'll see the pending Enquiry form added to the child's Document section. The form's status will update to Completed once the parent submits it.
Enrol a Child from an Enquiry
Once you’re ready for the child to start at your setting, you can enrol them directly from the enquiry profile.
To enrol a child:
Open the enquiry profile
Click Enrol
Select the start date and room
Once a child is enrolled:
Their enquiry status changes to Enrolled
This status cannot be changed back, as the child now has an active profile
If you open an enrolled child’s enquiry profile, you can click Go to Child Profile in the Status section to access their active profile.
Add an Enquiry Form to Your Website
You can share a Famly enquiry form link so parents can submit enquiries directly into your Enquiries list.
To share the website form:
Click on the Form dropdown
Select Simple enquiry form
Copy the link in the Link to your form section
Share it with families or add it to your website
When parents submit the form:
Their enquiry is automatically added to your Enquiries list
You’ll receive a notification to let you know you have a new enquiry
💡 Please note that for security reasons, it is not possible to embed the form directly on your website. The form must be shared using the link.
Delete an Enquiry
If you no longer need an enquiry, you can delete it from the list.
To delete an enquiry:
Open the enquiry entry
Click the ••• in the top-right corner of the pop-up
Select Delete
