Enabling and Managing Headcounts

Headcounts help ensure the safety and oversight of children in your setting. Famly allows you to record and track headcounts efficiently. This guide explains how to enable the feature, give staff the necessary permissions, create a headcount, and access saved records.


Enabling Headcounts

To use headcounts in Famly, first enable the feature:

  1. Go to Settings

  2. Select Safeguarding

  3. Toggle on Headcount


Creating a Headcount

There are two ways to create a headcount:

Option 1: From the Safeguarding tab

  1. Click the Children icon

  2. Open the Safeguarding tab and select Headcount

  3. Click New head count

  4. Select the room, tag, or status for which you want to perform the count

  5. Click on each child’s image to mark them as counted. Each counted child disappears from the list.

  6. You can only save the headcount once all checked-in children in the selected room, tag, or status have been counted

Option 2: From the Room Overview

  1. Open the Room Overview

  2. Click the Headcount icon next to Room Settings (top right corner)

  3. Select the room, tag, and/or status to count

  4. Mark children as counted by clicking on their image

  5. Save the headcount once all checked-in children in the selected category have been counted


Accessing Saved Headcount Records

Saved headcounts can be viewed from the Safeguarding tab under Headcount:

  • Go to the Children icon → Safeguarding → Headcount

  • Filter records by date, room, or tag to find the headcount you need

This allows you to maintain an accurate and auditable record of all headcounts.
