Set up a Child's Booking Plan

Creating a booking plan for each child is essential for generating your registers, parent invoices, and your revenue and occupancy reports. A plan is the weekly pattern that shows when the child attends your setting.

Follow the steps below to create or update a child's plan.


Add a Plan

You can add a plan for a child in a few different places, including a child's profile in their Bookings tab or from your finance overview. To add a plan from the finance overview:

  • Click the Finances icon in your sidebar

  • Select the Plans tab

  • Find the child you want to create a plan for

If the child does not have a plan yet, click Add Plan in the Plan period column.


If they already have a plan, click the child's name to either create a new plan or edit the existing one. A new screen will open where you can create or update the plan.


Add a Plan Period

Select the start date of the plan in the Plan period drop-down. For new children, this should be their first day of attendance.

πŸ’‘ You do not need to enter an end date, but it can be helpful if the child is only attending for a short period

If you add an end date, the child will no longer appear in your registers or reports after that date.


Enter a Pricing Group

In the Pricing band drop-down, choose a pricing group so Famly can apply the correct prices for each session. For example, you may charge different rates for babies and preschoolers.

Add an Invoicing Profile

Select the correct invoicing profile to place the child on the right schedule, such as Term time, Holiday club, or Full year, as well as the correct billing method. You can also adjust an invoicing profile by clicking on the ... and selecting Override invoicing profile


Add Sessions or Packages

Based on the sessions, products, and packages you have set up in Pricing, you can now add them to the child's plan.

  • If the child is on a package, select it from the Select package drop-down menu

  • To add sessions and products, click on the + icon and add the relevant items to each day


Add Public Funding

To add public funding to a child's plan, click on the Add Public Funding button. From here, enter the number of funded hours the child is entitled to weekly and the maximum number of funded hours they can receive per day. Next, select their funding rate in the Claimable from local authority drop-down.


Once you have set the child's public funding, your plan is ready! You can see an overview of the plan in the Pricing Preview section, where you'll see the weekly total for this booking plan.
