🔒 To use Holiday RSVP, you’ll need the Edit opening hours, info, etc. permission enabled
Holiday RSVP lets you ask parents to confirm whether their child will be attending during specific holiday periods. This is especially useful when children are booked in as usual but are more likely to be away during school holidays or similar periods.
You can find Holiday RSVP by clicking the Children icon in your sidebar, then selecting Holiday RSVP.
Create a Holiday Period
You can create a Holiday RSVP to request attendance information from parents for a set period.
To create a new holiday period:
Open Holiday RSVP from the Children section
Click New holiday period in the top-left corner of the screen (or Add holiday if you're using Holiday RSVP for the first time)
In the new window, complete all required fields, including:
The name of the holiday
A description
The deadline for replies
Which parents need to reply
The holiday period
If any days shouldn't be included in the holiday period, you can click on Exclude to remove them
Click Create and Send
Once sent:
Parents who need to reply will receive an email requesting their response
Automatic reminders will be sent to parents who haven’t replied
💡 Please note that the deadline for replies is for parents’ information only. Parents can still respond after this date.
Where to See Responses
In the Holiday RSVP tab, you’ll see the number of responses listed in the Replied column.
To view more details:
Click anywhere on a holiday period entry to open a list of parents who were sent the Holiday RSVP request
In the Status column:
Parents who haven’t responded yet will be marked with a red Missing reply
Parents who have responded will show a green Replied status
Click the Replied status to be taken to the child’s profile, where you can view the response in the Leave section under Holiday replies
You can also view responses in the Attendance report.
The Attendance report shows:
Which children are expected to attend
Which children are not attending
Which parents have not yet responded to the Holiday RSVP, indicated by a blue question mark icon
Once parents respond, the blue question mark will change into a sun icon
This gives you a clear overview of expected attendance during the holiday period.
