Using Staff To-dos

🔒 Access to the team-wide to-dos overview is controlled by the View all staff's to-dos and the Manage all staff's to-dos permissions. This is enabled by default for managers and admins. Staff members can only see their own to-dos.

Staff to-dos lets you create tasks for yourself or a colleague, with an optional due date and a link to a child. Now there's a dedicated page, and managers can see every team member's to-dos in one place.


Finding Staff To-dos

Staff to-dos are accessible via the Overview page within the Needs your attention widget or accessible as a full page through the widget by clicking on Open all in the My to-dos section.

For managers: the team-wide overview

The staff to-dos page gives managers an overview of the whole team: what's assigned, who it's for, and what's been completed. To view the team-wide to-do overview, you'll need the View all staff's to-dos permission, and to edit, delete and complete staff to-dos for other staff members, you'll need the Manage all staff's to-dos permission as well.

In your to-do overview, you can filter for open or completed to-dos and by assignee using the dropdowns at the top of the page.


Adding a Staff To-do

To add a new staff to-do:

  1. Click See all in the Needs your attention widget

  2. Type the task in Add a to-do and enter a due date if required

The task now appears in the Needs your attention widget on your overview and within the dedicated overview

💡 You can assign a to-do to one or more staff members or link it to a child by clicking Assignee or Child under the task. If you assign it to another staff member, the to-do leaves your list and moves to theirs

Assigning to Multiple Staff Members

If a task could be completed by anyone on the team, you can assign it to multiple staff members at once. The first person to complete it marks it as done for everyone. This is handy for tasks like "someone needs to clean the arts room" where it doesn't matter who does it, just that it gets done. Any staff members added as assignees will receive an in-app notification letting them know they've been assigned the task.

Staff to-dos in the calendar

If you add a to-do with a due date, it will appear in your calendar on that date. If you assign a to-do with a due date to another staff member, it will show in their calendar on that date too. You can click on the to-do to expand it and check it off once completed.


Completing a To-do

To complete a to-do, hover over the circle next to the task and click to mark it complete.

Completed to-dos still show when you click See all, but appear crossed off. They stay in your overview for a day before disappearing, so you can keep track of outstanding tasks while keeping a short record of finished ones.
