🔒 Custom Reporting is available on our Professional package and can be used by any staff members with access to the Reports tab

What are Custom Reports?

Custom reports are table-based reports that can be customised using data across your Famly platform. You can make a Custom report using one of our ready-made templates, or you can customise your very own dataset by adding filters and columns of your choosing.

Custom reporting is great for:

  • Getting access to existing information in Famly at a room, site or organisation-level

  • Collecting IDs for sites, children, and rooms so you can export this information into Excel to pivot the data based on these IDs

  • Accessing information that you wouldn't normally be able to visualise. For example, child profile information, or the system settings that each site has set up

What are Standard vs Customisable Reports?

Standard reports are the traditional Famly reports that cannot be customised by adding or removing columns and complex filtering. Think the Occupancy Report and Payments. Customisable reports are table-based reports where you can select the dataset, columns and filters.

Toggling On/off Custom Reports


As Custom reporting is a brand new feature, you'll be able to toggle it on or off for your site while you're still getting used to it. You can do this by:

  • Going to Settings in your sidebar Playground toggle on or off the Custom Reports feature

This will turn off Custom reports for your whole site (not the organisation). We suggest you only do this if there are big concerns or issues around the reports themselves or staff accessing certain information.

How to Create a Custom Report

To create a Custom report:

  • Go to Reports in your sidebar

  • Click on the Create report button to start your new report

  • Add your Report name, Choose a dataset, and Add a description

  • Select a category for your report and choose the type of report you'd like to make. You can choose between:

    • A ready-made template report with relevant filters and columns added, or

    • You can start from a dataset and fully customise your filters and columns

Now, it's time to customise your report. You can add columns and decide on the order you'd like them to be displayed in, you can select filters, edit your description for the report and you can export it once you're all done.

To add or remove columns in your Custom report:

  • Click on the eye button to check and uncheck the columns you'd like to show or hide

  • Drag and drop them to display them in the order you need - the order will be reflected in the export as well

  • Click on Save changes to confirm

To add filters to your Custom report:

  • If you choose to work from a ready-made report, you'll see a number of the most relevant filters at the top of the table. Open up any of the filters by clicking on them and checking or unchecking what you'd like to filter for within that category. Your report will reload to reflect the filters you selected

  • If you'd like to add more filters, you can do so by clicking on the filter button

  • Save your changes when you're ready by clicking on the Save changes button at the top

When you created your Custom report, you would've given it a name and a description. If you'd like to update your Custom report's description, you can do so by:

  • Clicking on the '...' button next to your description

  • Select Rename (or Delete to remove it entirely)

  • You can always go back and edit descriptions of your existing reports by following these steps

Lastly, you can export your report and download it to view or edit outside of Famly.

To export your Custom report:

  • Once you've customised your report, you can export it by clicking on the '...' on the table itself and selecting Download

  • From here, you'll be able to choose which format you'd like your report to save in. You can choose from JPG, PDF, Excel, or CSV


What Datasets are Available for Custom Reporting?

You can choose from the following categories of datasets and templates to create your Custom report:

Finance

Templates:

  • Bill Payers across your sites

Datasets:

  • Bill payers


Children

Templates:

  • Child notes across your sites

  • Change log of Child notes

  • Deleted child notes

  • Children’s rooms in your site

  • Children’s birthdays across the year

Datasets:

  • Child information

  • Child notes


Safeguarding

Templates:

  • Children’s dietary considerations

  • Children’s allergies

Datasets:

  • Health and safeguarding


Staff

Templates:

  • Staff list across your sites

Datasets:

  • Staff information


System Settings

Templates:

  • Site’s contact information

Datasets:

  • Site information
