Classroom Planner

The Classroom planner is your digital attendance record in Famly. It helps you see which children are expected each day and plan staffing for each classroom.


How to Find the Classroom Planner

  1. Tap on Menu in the bottom bar

  2. Go to Attendance

  3. Select Classroom planner at the top


Understanding the Classroom Planner

Getting an Overview of Attendance

The Classroom planner gives you a clear overview of expected attendance in each classroom. It includes:

  • Children’s regular attendance schedules

  • Any additional (ad hoc) sessions that have been booked

You can also switch to Detailed Breakdown to view attendance across a full week, starting from a specific date. If you prefer, you can enable Full days within a week to see the maximum number of children expected at any point during the day.


Total Children vs. Max Children

The Classroom planner shows two important numbers: Total Children and Max Children.

Total Children

This shows the total number of children expected to attend the center that day.

For example, if three children are scheduled to attend on Tuesday, the Total Children column will show 3.

Max Children

This shows the maximum number of children who will be in the classroom at the same time.

For example:

  • Felix and Harley attend from 6:00 AM – 12:00 PM

  • Harley and Frankie attend from 12:00 PM – 6:00 PM

Even though three children attend that day, only two are ever present at the same time. In this case, the Max Children column will show 2.

This number helps you understand the highest number of children in the classroom at once, which is important when planning staffing levels.

💡 Use the Max Children number when planning staff-to-child ratios, not the Total Children number


Why Are Some Children or Days Missing?

If children or certain days are missing from the Classroom planner, it is usually due to gaps in the attendance schedules.

The planner displays attendance based on these schedules. If dates are missing there, children using that schedule will not appear in the planner.

To check and update this:

  1. Open the child’s profile and confirm which attendance schedule is linked to their enrollment plan

  2. Go to Finances → Pricing → Fundamentals

  3. Scroll down to Attendance schedules

  4. Open the relevant schedule and locate the missing date

  5. If the date is not highlighted in purple (but should be), click the date to highlight it

  6. Click Update

Once the schedule is updated, the child or missing day should appear correctly in the Classroom planner.


Viewing a Detailed Attendance Breakdown

You can use the filters at the top of the Classroom planner to customize what you see.

Available filters include:

  • Date

  • Classroom

  • Child age

  • Session (AM/PM or Detailed Breakdown)

After applying filters, the table below will update with the matching children and attendance information. The Staff Required column is calculated automatically based on your classroom or age group ratio settings. A summary of the total number of children appears at the bottom.


Icons to Know

Some icons help you quickly understand a child’s status:

  • 🌡 Thermometer – Child is out sick

  • ☀️ Sun – Child is on vacation

  • Red and white cross – Child has allergies

  • Checkmark – Child is expected to attend during the selected hours

You can click on a classroom in the first column to open a more detailed attendance view for that group.

💡 The age shown next to a child’s name reflects their age on the date currently being viewed


Printing a Physical Attendance Record

If you need a paper attendance record, you can print one directly from the Classroom planner.

To print the classroom planner:

  1. Select Child Signature Fields if you want space for signing children in and out

  2. Select Staff Signature Fields if you want space for staff signatures

  3. Choose whether to display allergies or dietary notes

  4. Click Print

Children can still be signed in and out digitally within Famly.


Downloading the Classroom Planner as a PDF

You can also download a daily or weekly attendance record.

  1. Adjust the Classroom planner filters to show the specific classroom, day, or week you want

  2. Click Print

  3. Select Save as PDF instead of your printer

This will download the classroom planner as a PDF file.
