What is a Pricing Band?
A pricing band is how the system knows which prices to use for different children.
You can set up pricing bands based on age, so the right price is always applied automatically. If you charge the same price for all children, you only need one pricing band that covers the full age range. For example, you might call it All Children.
💡 Remember: Pricing bands are just the groups you set up. You’ll add your actual sessions and prices later in your pricing setup
Create a Pricing Band
To create a new pricing band:
Go to Settings in your sidebar and select Finances
Click on Pricing bands
Enter the name of your pricing band
Set Up Automatic Pricing Changes
Automatic Pricing Rules allow children to move between pricing groups in your setting based on their age. This ensures they are always charged the correct rate for their age. To use this feature, first create your pricing groups, then follow these steps:
To create automatic pricing rules:
Go to Settings → Pricing → Finances → Pricing advance rules
Click + Add rule
Give your ruleset a name (you can create multiple rulesets and manage them separately)
Click Create rule within your chosen ruleset
Select which pricing band children should start in and create the rule
Create additional rules to define which pricing band the child should advance to and when
💡 For a session to be eligible for Automatic Pricing, it must have a price entered for all your pricing groups. If a session is not normally available for a group, you can enter £0
Activate your Pricing advance rules
After creating your Automatic Pricing Rules, you need to apply them to each child individually:
Go to a child’s profile via Children in the sidebar or the search bar
Click the Bookings tab
Open the plan you want to update
Change the Pricing group to Automatic
If you see a locked plan message, choose a start date after the last invoiced period
Click Save to apply the changes
Delete a Pricing Band
Deleting a pricing band needs a bit of care. Children won’t automatically move to a different band, so you’ll need to update their plans manually. We recommend moving children to another band (or creating a new one to replace it) before deleting the old band.
If you’ve set up any automatic pricing changes, make sure to update these to include your new pricing band.
