Staff qualifications help you keep track of training, certifications, and professional development across your setting. You can use them to record required qualifications, upload supporting evidence, and store everything in one place on each staff profile.
Not all qualifications will appear in the app automatically, so you can create your own and add them as needed.
Create Qualifications to Add to Staff Profiles
Before you assign qualifications to a staff member, you can configure which qualifications are available in Settings. Many common qualifications are already listed (such as First Aid Training, DBS Check, Safeguarding Training, etc.), but you can edit these or create new ones to suit the needs of your setting.
When editing or creating a qualification, you can use the pen icon to control what information is captured. This allows you to choose whether the qualification:
Includes an expiration date
Includes a certificate number
Includes more than one level (and add custom levels if needed)
Create a Custom Qualification
If you have a qualification that isn't part of the default selection, you can add your own qualification type.
To create a new qualification type:
Head to your Settings
Select Staff
Click on Staff qualifications
In the Add new qualification section at the bottom, give the qualification a title and enter the relevant details
Click on Save new qualification when you're ready
Delete a Qualification Type
You can remove qualification types that are no longer needed, as long as they aren’t linked to a staff member.
To delete a qualification type:
Click on the qualification in the list
Select the bin icon in the bottom-left corner
💡 Please note that you cannot delete a qualification that is currently linked to a staff member, regardless of whether their profile is active or withdrawn.
Add Qualifications to a Staff Member’s Profile
Once a qualification type has been created, you can add it to individual staff profiles.
Qualifications are stored in the About section of a staff member’s profile, where you can view existing qualifications or add new ones.
To add a qualification to a staff profile:
Head to the staff member’s profile
Scroll down to their About section
Click New on the right-hand side (or Add qualification if you haven't added any previously)
Select the qualification and enter the relevant details
Upload supporting evidence, such as a certificate (optional)
Click Create
Expiration Dates
You can add an expiration date to a qualification for your own reference.
💡 Please note that staff members will not receive a notification when a qualification is due to expire
