How to Make a Temporary Change to a Child's Plan

Sometimes, you may need to make a temporary change to a child's plan, for example, schedule a booking for a Holiday Club for a child who ordinarily attends only on a term-time plan. To do this:

  • Go to the child's profile and click on the 'Bookings' tab

  • Click 'Create new plan' next to 'Plans'

  • A new window will open, showing the child's current plan. In the 'Plan Period' box at the top, enter the start date as the first date after the temporary change. Do not change anything else. Now click 'Save' then 'Close'

  • The child's profile will now show two identical plans. Hover over the line in between the two plans and a line with a '+' will highlight. Click on this to add the temporary plan

  • A new window will open where you can set the temporary Plan. Set the start date of the plan as the first date of the planned change, for example the first date of the Holiday Club.

  • The end date will automatically be the date you entered in the earlier step, when their original Plan re-starts.

  • If you are working with a child who normally only attends term-time, you will need to change the invoicing profile to either Full year or Holiday time invoicing profile. You will also need to 'untick' public funding for this Plan.

  • Click 'Save'.


Adding a blank plan

If you want to ensure that a child is not billed for a period of absence, you can add a 'blank plan' with no attendance planned for that period. To do this:

  • Go to the child's profile and click on the 'Bookings' tab

  • Click 'Create new plan' next to 'Plans'

  • A new window will open, showing the child's current plan. In the 'Plan Period' box at the top, enter the start date as the first date after the temporary change. Do not change anything else. Now click 'Save' then 'Close'

  • The child's profile will now show two identical plans. Hover over the line in between the two plans and a line with a '+' will highlight. Click on this to add the temporary plan

  • A new window will open where you can set the temporary Plan. Set the start date of the plan as the first date of the planned change, for example the first date of the absence.

  • The end date will automatically be the date you entered in the earlier step, when their original Plan re-starts.

  • Now remove all attendance planned for the child until the plan contains no products, packages or sessions.

  • Click 'Save'.
