🔒 To set up and edit pricing for your setting, you'll need the 'Manage Financial and Occupancy Settings' permission enabled.
Properly setting up your sessions, products, and packages is essential for creating a child’s plan and invoicing accurately. This guide walks you through the steps to configure pricing in Famly.
Set Up Sessions
Sessions are the main way to charge for a child’s attendance. They form the basis of a child’s plan or booking pattern. If you offer a session as an ad hoc purchase, you can add an ad hoc price next to the regular session price.
💡 Sessions won't show up as an option when you add an ad hoc purchase if you haven't entered an ad hoc price
To create a new session:
Go to Settings → Finances → Pricing → Pricing structure
Click New item and choose Session from the dropdown
Enter the session title (this will appear on invoices)
Choose the pricing method:
Hourly – charged by time; set the start and end times when creating the session
Per Session – fixed price per session
Monthly – fixed monthly rate (e.g., a full day once a week for £100)
If your setting offers flexible arrival and departure times, hourly sessions are especially useful.
Select the applicable age groups and enter the corresponding prices.
If you want ad-hoc sessions, set the Ad Hoc price on the right.
Enable Flexible booking time if the session allows flexible arrival/departure within that session.
Set daily availability and choose whether to charge for closure days, sickness, or absence.
Restoring a deleted session:
Use the View pricing as of box in the top left corner to select the last active date
Open the discontinued session and click Restore in the top right corner
Set Up Extra Charges
Extra charges let you add items such as meals or additional fees. These are created similarly to sessions.
To add an extra charge:
Click New Item → Extra charge
Enter a title
Select whether the product will be charged weekly or monthly (monthly is only available if invoicing is not by actuals)
Assign the age groups and enter prices
Set daily availability
Choose whether it should be invoiced on closure days
Decide if discounts should apply
Click Save
Set Up Packages
Packages allow you to create fixed weekly or monthly schedules with a fixed price. Packages are available only on Premium or Professional plans.
To create a package:
Click New Item → Create new package
Enter a title
Select weekly or monthly billing (monthly requires annualised invoicing)
Assign age groups and enter prices
Enable Flexible booking time if needed
Set applicable days
Click Save
You can add one or multiple packages to a child’s plan:
Go to the child’s profile → Bookings
Edit the existing plan or Create new plan
Use the Select package dropdown to add packages
Set Up Hourly Rates and Funding
Many settings receive less funding than the full cost of the sessions they provide. Since funded hours cannot be topped up with additional fees, you can set up a funded session or a funded hourly rate. This allows you to subtract the funding deduction directly in your pricing setup rather than on the child’s plan.
‼️ Using this method means the Public Funding Report will show the invoice deduction matching the funding received, which may not fully reflect your actual session costs.
To set up a funded session:
Go to Settings → Finances → Pricing → Pricing structure
Click New Item → Session
Select hourly rate or per session
Give the session a clear name to indicate it’s funded
In the Price section, enter the funding amount received per hour or session, not the full cost
