Remove a Staff Member and Delete their Login

When a staff member leaves your setting, you need to remove their login to ensure they no longer have access to sensitive information in Famly. This article explains how to remove a staff member, set their leaving date, and access records of past staff.


Removing a Staff Member’s Login

To prevent a staff member from accessing Famly:

  1. Navigate to the staff member’s profile. You can find them by:

    • Selecting the room they are registered in and clicking on their name

    • Searching for them in Settings → Staff

    • Using the search box

  2. Once on their profile, click Edit.

  3. At the top of the profile, you’ll see their login information with their role (e.g., Role: [their role]). Click this box and select Remove Login from the drop-down menu.

  4. Click Save to apply the changes.

Once the login is removed, the staff member is logged out of all devices and can no longer access Famly. If the staff member also has a parent role, they will still be able to access Famly as a parent unless their parent role is revoked.


Setting a Leaving Date

To ensure the staff member no longer appears in active lists after their departure:

  1. Go to the About section of the staff member’s profile and click on the Contract tab.

  2. Find the Leaving date box and select the staff member’s final working day from the calendar.

  3. Click Save Changes.

After the registered leaving date, the staff member will no longer appear as active and will not be able to access Famly.


Accessing Records of Past Staff

Famly keeps records of staff members who have left your setting. To view these records:

  1. Go to Reports → Custom lists.

  2. Click Add list in the top right-hand corner and select Staff from the drop-down menu.

  3. A new screen will show all staff. To filter past staff:

    • Tick the box labelled Past in the top left-hand corner

    • Ensure the other two boxes are unticked

You will now see a list of past staff members, provided their information was entered into Famly.
