Famly helps prevent overlapping session bookings, reducing the risk of accidental double bookings for both staff and parents. This ensures schedules are accurate, billing is correct, and administrators spend less time resolving conflicts.
How It Works
This feature checks for overlapping sessions whenever a booking is made and acts differently for parents and staff:
Parents: cannot book overlapping sessions at all. Famly prevents the booking entirely.
Staff: will receive a clear warning if a session overlaps with an existing booking, but can choose to proceed by confirming the overlap. This ensures flexibility when needed in special cases.
Overlap Checks
Famly prevents booking overlaps in the following cases:
1. Ad Hoc Sessions
When adding an ad hoc session, Famly checks if the session overlaps with:
Another ad hoc session is already booked
Another ad hoc session is being booked in the same flow
A session already included in the child’s plan
When a staff member adds a session that has already been added as an extra purchase, they'll see a warning pop up letting them know the session overlaps. Staff members can click Add session anyway after checking the box to confirm to override the double booking.
For parents, if there's an overlap, they will see a message saying they have already booked this session in a previous purchase.
If parents try to book a flexible session that overlaps with a previously booked ad hoc or plan session, they will see a warning showing the exact times that conflict. They will then be prompted to choose a different start or end time to avoid the overlap.
💡 Famly will always take the child’s attendance schedule into account when flagging double bookings. For example, if a child’s plan indicates they usually attend on Mondays but are not scheduled for a specific Monday, ad hoc bookings can still be added for that day
2. Plan Sessions
When adding a session to a plan, Famly will prevent the booking if it overlaps with another session in the same booking pattern.
When a staff member adds a session that already appears on the child's plan, they'll see a warning pop up letting them know the session overlaps. Staff members can click Add session anyway after checking the box to confirm to override the double booking.
Parents trying to book an overlapping session will see a warning that they have already booked a session as part of their child's plan.
