Leaving Famly

Have You Contacted Famly?

If you’re reading this, you may have already been in touch with your account manager or our Support Team. If not, now’s a good time to reach out.

  • If there’s a problem or you need assistance, chat with us.

  • If you’re having trouble with payments, speak to us about changing your subscription or trying the Free Package.

  • If you notice something missing, suggest it here or check our Road Map to see if it’s already on the way.


How to Give Notice

  • Monthly subscriptions: You must give one month’s notice. Your subscription will continue for the remainder of the current month plus the next month. For example, if you give notice on April 15th, you will still have access to Famly until May 31st.

  • Annual subscriptions: Check your contract for the specific notice period.

Notice must always be given in writing to helpdesk@famly.co.


Downloading Information from Famly

Famly allows you to export data for children, staff, attendance, learning, and finances. Here’s what’s available and how to access it:

Children

  • Accident Forms: Export a CSV file of all accident reports (excluding body maps).

  • Medication Forms & Headcounts: While bulk exports aren’t available, you can generate a PDF of the overview page using Command + P (Mac) or Ctrl + P (Windows).

  • Parental Permission Answers: Exportable via Custom Lists.

Attendance

  • Child Attendance: Export attendance and milk reports in CSV format. Make sure to select the correct date range.

  • Staff Attendance: Go to Staffing → Staff Attendance. Three export options are available:

    • Daily Total – matches the summary on the page

    • Detailed Breakdown – includes sign-in/out times, shifts, and leave data

    • Staff Hours – overview of total hours worked

  • Staff Absence: Download a detailed breakdown of all leave in CSV format.

Enquiries

  • Export all enquiries in CSV format.

Reports

  • Occupancy FTE Summary: View weekly or monthly occupancy data, broken down per child.

  • Bookings: Export a CSV of all children’s bookings for a specific period.

  • Starters & Leavers: Download records of children starting or leaving your center.

Learning

  • Learning Journey: Download a child’s full learning journey in PDF format from their profile. Parents can do this as well.

Finances

All financial reports can be exported in CSV format, including:

  • Payments

  • Debt Collection / Bill Payers – current balance and aged debt

  • Deposits & Returns

  • Invoices:

    • Summary view

    • Invoice lines – itemized breakdown

    • Invoice items – most detailed level

    • PDF exports – download invoices in bulk as a zipped file

  • Subsidies and Revenue

  • Custom Lists & Reports – flexible export options for staff and children; includes extra data such as profile notes

⚠️ Remember to inform parents that once your subscription ends, they will no longer have access to their child’s profile, photos, learning journey, or any other saved information


Making Final Payments

We will cancel your automatic payment if you have one set up. If not, make sure your balance is fully paid before the end of your final month with Famly.


What Happens to Your Data Once You Leave Famly

  • All child, parent, and staff data is permanently deleted once your center is removed from Famly.

  • We do retain some customer, subscription, and billing information for bookkeeping purposes.


Selling Your Center

If you are selling your center and the new owners plan to continue using Famly, consider the following:

  • Provide confirmation in writing along with documentation of the sale.

  • Cancel any automatic or recurring payments after the last payment clears.

  • If you’re transferring the full platform via a Share Purchase Agreement, download any data you need to keep for your records.

  • Delete any records (e.g., past children or staff) that the new owner does not need or should not access.

  • Remove logins for users who will no longer require access after the sale.
