Planning for Days Your Center is Closed

Closure days let you record days when your center is closed, such as public holidays, training days, or other special closure dates. Using closure days ensures:

  • Parents are informed when your center is closed

  • Classroom planners and invoices are accurate, as children attending all year round will not appear on closed days

  • You can choose whether or not to charge for specific types of closure days

Adding a Closure Day

To add a new closure day:

  • Go to Settings

  • Open the General section

  • Select Closure days, then click New closure day

  • Enter the date range and type of closure day (Public holiday, Training day, or Closure day)

  • Click Save

If you'd like to add a public holiday, choose Add public holidays from the dropdown and select holidays in your region to add as closure days.

πŸ’‘ Closure days can only be added for full days. If your center closes for part of a day, adjust children's bookings by scheduling a change and removing sessions for the affected period

Customizing Which Closure Days Are Charged

You can decide whether children are billed for specific closure days. For example, you may want to charge for public holidays even if children do not attend.

To charge for a specific closure day:

  • Create the closure day and select the correct type (for example, Public holiday)

  • Make sure the closure day is included in the Attendance Schedule. Closure days appear as padlocks in the calendar. Highlight in purple to include them in billing

  • In your Pricing structure, check the Charge for this session when it is booked on a: box to charge for that type of closure day on sessions, products, or packages

Billing for Closure Days

You can control whether children are charged on closure days through your pricing structure:

  • Go to Settings, then Finances, Pricing and Pricing structure

  • Click a session and scroll down to the Charge for box

  • Uncheck the box for the closure day type you want to exclude

  • Repeat for all relevant sessions, packages, and extra charges

Closure Days and Staff Scheduling

Closure days are visible wherever you plan staff: on the Schedule, Attendance, and Timesheets pages, as well as the Calendar. When a closure day falls within the week you're viewing, it will be grayed out to stand out from regular working days. Hover over the question mark on the day to see its name and type.

πŸ’‘ Adding a closure day doesn't automatically add a leave day for staff members. If the closure day counts as a staff leave day, you'll need to add this to each staff member's profile individually.
