CACFP Meal Reporting

Child Roster

Before generating reports, make sure each child has the correct CACFP eligibility category assigned. The Child Roster is where you set this up.

Each child should be assigned one of the following categories:

  • Free

  • Reduced

  • Paid

These categories determine how meals are counted in your monthly claim. They're valid for up to 12 months and should be renewed at least once a year.

πŸ’‘ When you update a child's eligibility category, the change takes effect from the first of the previous month. For example, if you make a change on March 6th, the child will appear under their new category in reports from February 1st onwards.


Monthly Totals Report

The Meal Count Summary is the core document you'll use for your monthly CACFP reimbursement claim. It shows how many meals were served β€” broken down by eligibility category and meal type, participation and attendance numbers.

☝️ Note: Meal counts show a maximum of one meal type per day per student. If a staff logs multiple of the same meal type in a day a maximum of one of that meal type will be counted.

Meals: Counts meals registered by staff for the selected month β€” max 1 per meal type, per day

Participants: Counts children who were checked in at least once during the selected month, regardless of whether a meal was served. Children with no attendance are excluded.

Attendance:

Service days: Days when at least one child was checked in.

Total attendance: Total number of children checked in across all service days. Average daily attendance: Total attendance divided by service days.

How to get started

Set up Meal Types

To set up your Meal settings:

  • Go to Settings in your sidebar

  • Scroll down to Meals and click Plans

  • Add your meal types, such as breakfast, lunch, or snack

Recording a Child's Meal

To record what a child ate and how much:

  • Use the Global Add Button

  • Select Log meal

  • Click a child's photo to select them.

☝️ Note: Be aware that meals can be logged even if a child is not checked in. Checked out children do not show up on the list unless staff actively enable "show checked out children" toggle.


Meal Log Report

The Meal Log Report gives you a monthly breakdown of meals logged per child. This is the child-level detail you'll need on file for audits and sponsor reviews - showing exactly which meals each child received on which days.

What's included:

  • Each child's meals served by date and meal type

  • Eligibility category per child

This report is especially useful if your sponsor or state agency asks you to verify the totals in your claim.
