Where to Find Your Calendar

The Calendar in Famly helps you stay on top of what’s happening at your center. You can use it to view upcoming events, plan and create new ones, and quickly see who is absent on a particular day.

To open your Calendar:

  • Click the Home icon in your sidebar

  • Go to the Calendar tab

🔒 To view the site’s shared calendar, you’ll need the View site calendar permission. Without this permission, staff can only see their own personal calendar


Create a New Calendar Event

Creating events in the Famly Calendar is quick and flexible.

To create an event:

  • Open the Calendar

  • Click New Event in the top-left corner

You’ll see two options:

  • New Event – for a one-time event (for example, a celebration or parent meeting)

  • New Week Schedule – to create multiple events at once

🔒 To create events in the site calendar, you’ll need the Create calendar events for parents and staff permission


Create a One-Time Event

Use this option for individual events.

To create a one-time event:

  • Open the Calendar

  • Click New Event

  • Select New Event from the drop-down menu

  • Enter the event details in the window that opens

  • Click Save


Invitees

When creating an event, you can choose who should be invited.

In the Invitees field:

  • Select who you want to invite (for example, parents, staff, or both)

  • The event will only appear in the calendars of the people you select

For example, a staff meeting with only staff selected as invitees will not appear in parents’ calendars.


RSVP Options

You can choose whether invitees need to respond to the event.

If RSVP Is Not Required

  • Invitees will not receive an email or notification unless you check Notify invitees about event

If RSVP Is Required

  • Invitees will receive an invitation by email and in-app notification

  • They’ll be asked to reply Attending or Not attending

Parents receive the invitation immediately if the event is within 60 days.
If the event is more than 60 days away:

  • Invitees will receive the invitation 60 days before the RSVP date

  • Reminder notifications will be sent one week and two days before the deadline, if no response has been given

Newsfeed Visibility for RSVP Events

  • RSVP events more than 60 days away will not appear in the Newsfeed until 60 days before the event

  • After that, they’ll be posted more frequently as the event approaches

  • If you choose to notify invitees, the event will be posted to the Newsfeed once, regardless of the event date

💡 If your RSVP event isn’t showing in the Newsfeed, it’s likely because the event is more than 60 days away


Create a Weekly Schedule

Weekly schedules are useful when you need to add multiple events across one or more weeks.

To create a weekly schedule:

  • Click New Event

  • Select New Week Schedule

  • Choose who the schedule is for (for example, the whole site or a specific room)

  • Select a date and click + Add Event

  • Enter the event title, start and end time, and description

  • Add more events as needed

If the events are not in the current week:

  • Click + Add Week to move forward in time

Once you’re finished:

  • Click Create to add all events to the selected recipients’ calendars


See Who’s Coming to an Event

The Calendar gives you a clear overview of responses.

To view responses:

  • Click the event in your Calendar

  • Review the event summary and list of invitees

You’ll be able to see:

  • Who has responded

  • Who is attending

  • How many invitees have not yet replied


Cancel an Event

If you need to cancel an event:

  • Open the event in your Calendar

  • Click Delete at the top of the event page
    (or Edit if you only want to change details)

  • Confirm by selecting Delete for everyone

The event will be removed from all invitees’ calendars.
